Old Escondido Mothers Day Home Tour 2007

3rd Committee Meeting

December 14, 2006   7:00PM – 8:00PM

 

Attendees: Carol Rea, Anna MacGowan,  Brita Smith, Lynn Hall, Kevin Hall, Doug Eagleson, Carol Breitenfeld

 

Minutes from November 16, 2006 meeting approved.

 

Carol announced that the city was closing buildings early and the meeting needed to conclude by 8:00 PM

 

Committee Reports

 

            Finance  Brita Smith Chairperson

The check book and manual account ledgers for the Old Escondido Neighborhood Group have been transferred to Brita and her name has been added to the bank account.

Brita reported she is looking into an on-line accounting program. The program may offer reduced rates for non-profit organizations.

 

            Home Selection Doug Eagleson Chairperson

             Confirmed homes for the tour are:

1.      2 homes at 420 E 7th Avenue

2.      400 E block of 7th Avenue ( 2 doors west of above 2 houses on 1 lot)

 

Carol Rea talked to the owner of the Bandy House. The house is under repair for lightening damage and the owner can not commit at this time. Carol will check back with the owner at a later date.

 

 

Home Liaison Open position

This position remains open. Suggestion was made to announce the open position in the next newsletter.

 

Publicity Carol Rea Chairperson

Carol is looking into running ads in the North County Times and the San Diego Union in conjunction with supplements promoting Mother’s day. Cost TBD

City banner will be used again this year. Cost is $40.00.

Mailing list compiled from 2006 ticket sales. Flyers will be sent out promoting/encouraging pre-event ticket sales through mail ins or on-line ordering.               Cost of flyers and postage TBD.

Suggestion made to use History Center Mailing list as another resource.

            Ads in tour brochure will be limited to 50% or less of the brochure’s pages.

            Ads should be more than business cards this year, ¼ to ½ pages are recommended  

Lynn Hall recommended that a committee be formed to solicit ads from local business. Brief discussion, no decision on committee.

           

Refreshments Lynn Hall and Peggy Williams Co-Chairpersons

Budget prepared and submitted to Brita. Budget is $956.20. This amount covers expenses for the day of the event, but does not include the after tour party.

An addendum will be added for the after party expenses.

 

Logistics    Kevin Hall and Doug Eagleson Chairpersons

Two Port-a-Potties and one wash station needed. Kevin Hall will get a quote and submit to Brita Smith

             

The Refreshment committee is responsible for the acquisition of tables, chairs and flowers. Logistics is responsible for the set up and take down of these items.

Carol Rea discussed the black smith and History center display ideas with Wendy Baker, director if the History Center. She reported that Wendy liked the ideas.

Carol would like to approach the period dance group and discuss their possible participation.

Carol Rea reported that closing off 7th Avenue requires special insurance and a plan drawn up by a traffic specialist before city would approve.

There was a discussion about which of the other venues suggested should be included in the tour. Brita Smith suggested that a vote on the venues. No vote was taken.

Contacts persons or liaisons for the other venues have not been named.
